Funding Accountability System

 

            The Presbytery has charged the PMB “to model, inspire, resource, and enable congregations and the Presbytery of the James to do its mission work.”  While many of our congregations are already participating in mission activities, the connectional nature of our denomination calls for us also to be in mission together.  In fact, some mission activities are best performed regionally.  Further, this regional work is sometimes done through independent organizations; therefore the PMB has funded outside partners to carry on this work.

 

As a result of our desire to keep up with and to celebrate the programs and organizations that the PMB supports in the Presbytery of the James, the PMB puts forth the following timetable and policy for the renewal and receipt of funds from the PMB. 

 

Grant-giving Timetable and Policy

 

  • Requests for funding are to be made in writing to the PMB.  Since the PMB must submit its recommendations by the end of the summer, the application period begins in April.  All requests must be in by the second Thursday in April.  The PMB will begin to examine and discuss the received requests at its April meeting and may request a face-to-face conversation with a representative of the organization at its May meeting.*  Decisions on recommendations to the Budget committee of the POJ will be finalized in June.  The PMB budget will not receive final approval before the February meeting of the Presbytery of the budget year.

 

  • The PMB requests that the following information be provided, either on the form provided or in a publication:
    1. A brief history of the organization and a mission statement if available,
    2. A report of the organization’s activities and accomplishments for the year,
    3. A description of the plans and goals of the organization for the year of its request,
    4. A copy of the current year’s itemized budget, including sources of income, and
    5. The funding requested for the next calendar year.

 

  • The level of funding available to the PMB varies from year to year.  All requests for funding will be considered by the PMB, and may be recommended to the POJ by a majority vote.  Funding will depend on the needs of the organization, the number of requests received, the amount of funds available to the PMB, and whether the request fits the priorities of the PMB.

* Please note that for the year 2008 all organizations requesting funds will be asked to send a representative for conversation with the PMB, as this is our first year using this system.
